Administration
Administration is where the practice is set up rather than run: who can sign in and what they can do, the practice-wide settings, the preferences that shape the clinical screens, and the month-end jobs — patient statements and batch printing.
The items sit at the bottom of the main menu under Administration, with Preferences and the two month-end screens alongside. What you see depends on your role.
| Screen | For | Covered in |
|---|---|---|
| Users, Roles, Organization Units | Who can sign in, and what each person can reach | Users and roles |
| Settings, Languages, Visual Settings | Practice-wide settings: security, email, appearance | Settings |
| Audit Logs, Active Sessions, Maintenance, Subscription and the rest | Seeing what happened, who is signed in, and housekeeping | Audit logs and maintenance |
| Preferences — General, Front Desk, Insurance, Transaction, SOAP Note | How the working screens behave | Preferences |
| Patient Statements | Closing the billing cycle and printing statements | Patient Statements |
| SOAP Note Batch Print | Exporting a batch of notes for an audit or a records request | SOAP Note Batch Print |
| Appointment Template Editor | Provider working hours for online booking, and appointment resolution actions | Appointment templates |
Who sees what
ChiroPad ships with three roles, and the Administration menu is where they differ most:
| Role | Administration access |
|---|---|
| Admin | Everything, including Roles, Settings, Audit Logs and Subscription. New permissions are granted to Admin automatically |
| Doctor | Users (view, edit, unlock), Settings, all five Preferences pages, Patient Statements, SOAP Note Batch Print, Appointment Template Editor — plus every clinical, catalog, customization and report screen |
| OfficeManager | Users (view only), and no Preferences — plus the Front Desk, patients, catalogs and every report except Financial |
A menu item a person cannot use simply does not appear for them. If someone reports that a screen described here is "missing", check their role's permissions under Roles before anything else.
Set the practice up in this order
- Users and roles — a sign-in for every person, each with the right role.
- Settings — time zone, session timeout, email, and the practice details that print on documents.
- Preferences — the visit counter, clearinghouse login, card processing and SOAP note options.
- The Catalogs — providers, account types, carriers, procedures.
- Customization — only once the practice has used the defaults for a while.
